What is HR compliance?

Compliance management in HR is ensuring a business’s HR practices, policies, and procedures are lawfully carried out. Such as employment law, regulations applicable to that sector or business type, the employment contract, and applicable case law. One of a HR team’s most important jobs is ensuring that the business is remaining compliant with regulations. This includes minimum wage requirements, discrimination laws, health and safety requirements, and the protection of employee data.

   

Not complying with these laws can be incredibly costly, incurring hefty fines and legal issues if any issues arise. There’s also a reputational risk, with non-compliance affecting trust with clients, employees, and other key stakeholders. Compliance will help boost employee productivity by providing clarity and creating a positive environment for them to work in.

HR compliance best practices

It’s important to stay abreast of all potential issues that could arise from HR compliance. It can be useful to have different members of a HR team focus on different areas, such as hiring procedures or policies. Stay up to date with any employment law updates or other regulatory oversight to ensure practices are kept compliant.

Produce an employee handbook. This is a group of documents that comes along with the main employment contract. It outlines the workplace’s policies and procedures, as well as human resources compliance practices. Including things like maternity and paternity leave, and data protection.  

While not required to remain compliant, these documents are a guide for employees or managers to refer to. Providing them with clear knowledge of the HR compliance requirements.  

Furthermore, when onboarding a new employee, it can be useful to have a HR compliance checklist. This ensures each employee receives all the necessary training and information.
